Invoice Numbering: Best Practices for Small Businesses and GST Compliance
Invoice numbers look trivial until you need to find one. A good numbering system saves time at tax filing, makes audits painless and helps clients quote the right invoice when they pay. A bad one causes duplicates, gaps and arguments.
The rules that matter
- Unique: no two invoices share a number.
- Sequential: numbers increase without gaps. For GST, the series must be consecutive within the financial year.
- Short: GST invoices are limited to 16 characters, so keep the format compact.
- Allowed characters: letters, digits, hyphen and slash only.
Popular formats
| Format | Example | Notes |
|---|---|---|
| Prefix + number | SB-1001 | Simple and easy to read |
| Financial-year based | 2026-27/0001 | Resets every April, clear for accountants |
| Date based | INV-20261011-01 | Easy to sort, watch the 16 character limit |
| Client based | ACME-007 | Useful for retainers, harder for GST sequencing |
Start above 1
Many freelancers begin at 1001 instead of 1. It looks more established to a new client and leaves room for a growing series.
Never delete, always cancel
If you make a mistake, cancel the invoice and keep it in the record with its status, then issue a new one. Deleting leaves a gap in the series that you may be asked to explain. If you need to correct an issued tax invoice, a credit note or debit note is the usual way, so ask your accountant which applies.
Separate series for different document types
Quotations, proforma invoices, tax invoices and credit notes should each have their own prefix, for example QT-, PI-, SB-, CN-. Mixing them in one series makes your tax invoice sequence look broken.
Multiple branches or businesses
If you run more than one GST registration or branch, keep a separate series for each, with a prefix that identifies it.
Avoid the double-booking problem
If two people create invoices at the same time using a spreadsheet, duplicates happen. Software that reserves the next number at the moment you save prevents this by design.
Reset at the new financial year
Indian financial years run from 1 April to 31 March. If you include the year in your format, restart the count on 1 April, and archive the previous year's series.
