How to Get Paid Faster With UPI: QR Codes, Payment Links and Reminders

By the StampBook team · Updated October 2026

In India, UPI is how most customers already pay for everything from vegetables to rent. Yet many small businesses still send an invoice that says "please transfer to our account" and wait. Making payment as easy as scanning a code can cut days off your collection time.

Why UPI works so well for invoices

Put a QR code with the exact amount on the invoice

A generic QR code asks the customer to type the amount, which is where mistakes happen. A QR code that has the amount and an invoice reference pre-filled means the customer only needs to confirm. Always include your UPI ID in text next to the QR so customers who cannot scan from the same device can type it in.

Use a shareable invoice link

A PDF attached to a WhatsApp message is easy to lose. A link opens the latest version of the invoice, shows the current balance and can include the payment options directly. When the customer taps and pays, the loop closes in one sitting.

Use a payment gateway when you need automatic confirmation

With a direct UPI payment to your own ID you must check your bank app and mark the invoice paid yourself. A payment gateway such as Razorpay confirms the payment automatically and records it against the invoice, which is useful once you have many invoices a month. Gateways charge a fee, so compare that cost against the time you spend reconciling.

Know the UPI limits

UPI has per-transaction and daily limits that vary by bank and by the type of payment. For large invoices, suggest a bank transfer such as NEFT, RTGS or IMPS, or split the payment into two parts. Mention this on the invoice so a customer does not get stuck at checkout.

Send a reminder before the due date

Most late payments are forgetfulness. A short message one or two days before the due date, with the invoice link and QR, works far better than a stern message after it.

Example: "Hi Anil, a gentle reminder that invoice SB-1057 for Rs. 12,500 is due on Friday. You can pay here: [link]. Thank you!"

Reconcile the same day

When money arrives, record it against the invoice immediately and mention the payment reference. A tidy ledger makes GST filing, tax time and any client query much easier.

A simple UPI workflow

  1. Create the invoice and include your UPI ID and QR.
  2. Send the link on WhatsApp the day the work is done.
  3. Send a friendly reminder before the due date.
  4. Record the payment as soon as it arrives.
Check your bank's and UPI app's current limits and charges, as these can change.
